CHHS THEATRE BOOSTERS MINUTES

November 13, 2007

 

President Kent Meier called the meeting to order at 7:10 pm.                    

Present: Kent Meier, Bonnie Keenan, Hector Rodriquez, Kim Sutter, Kelly Ondras, Jann Lynch, Laura Dearing, Shiryl Gillapsie, Susan Taylor, Mary Ellen Thomas, Janelle Casey, Chris Faulkner, Paula Cook, Kay Barkin, Denise Light, Cecilia Monacelli. Also Present: Mrs. Koepf, Ms. Martin 

Minutes were approved by unanimous vote. The Treasurer’s Report was filed for audit.

Mrs. Koepf gave update on Crucible Box Office take: 953 were in attendance over 6 shows. $5,286 in Ticket Sales ($300 of that is online ticket sales—our first time to offer this service) Expenses $4,580–tech and cast needs, ticket printing, costume rental, royalty and scripts ($450) Profit was $1206.

Jared Barowitz and Sam Tees were paid $500 each for their help in the Tech Department. Bonnie Keenan made a motion, Kay Barkin seconded, that another CHHS alumni, Grayson Howe be paid $500 as well for his assistance to Ms. Martin in directing The Crucible.

 Mrs. Koepf also mentioned a proposed budget for Bye Bye Birdie (BBB) Rights and Royalties alone are $7,000. She is also asking the front office to hold the auditorium on Saturdays in case extra shows are added.

 Mrs. Koepf also introduced Colleen Casey, BBB Costume Designer. She asked for men’s and women’s 1950’s era clothing. Also, 1950’s era items for set dressing.

 $150 deposit is due by November 30th the New York trip. Student price is $1449. Trip insurance is available but check it out as to any restrictions. At this time there is a stagehand strike on Broadway, affecting some shows.

 Mrs. Koepf also updated all on the Children’s Theatre Workshop (CTW.)  Production and Interp classes are involved that day (Dec. 15th from 8-3) and in preparations beforehand. DVD’s and photos with Santa will be available for  order/purchase along with candy canes, bottled water, raffle etc. CTW needs—felt, visors, headband, tulle, jewels, foil, yarn etc. The GC Education Foundation awarded Mrs. Koepf with a $250 mini-grant for the CTW.

 Bonnie Keenan made a motion for Boosters to allocate $500 for the CTW, $250-300 to be spent on a nice Santa Suit, complete with ‘belly.’ Motion carried. Denise Light will research Santa Suits to find the best quality/best price.

 Ian Casey, a freshman student, brought another fundraising idea, a LAN-tournament, sometime in mid-February (15-16?) Tickets sold to enter, compete in various computer games such as Guitar Hero, Halo, etc.

 A motion was made by Denise Light, second by Janelle Casey, that Boosters purchase 150 ‘slicks’ for $100 (the 5.5 x 8.5 page protectors Interpers use in Book Events) from Greg Burns. These ‘slicks’ are not available in stores anymore. Mr. Burns is selling them 30 for $20.00.  

Kent Meier talked about a dining guide for the BBB Playbill, a listing of restaurants at $75 per. Restaurant Name, address and phone number listed. Also, Kent is working with McAlister’s to print a coupon on the back of BBB tickets. McAlister’s would be open after the show for parents and students.  He is also working with Market Street and others about starving artist’s meals, Gala opening sponsors, etc. 

Kent also clarified that Business ads repeat in all the programs/playbills but that good show ads must be renewed for each show. If an advertiser wants to change their ad, they can do so if before the deadline and as long as they keep within the size they purchased. $11,000 in ads was sold this past fall; $870 will be distributed among those students who sold ads.

 Janelle Casey moved to adjourn, Kay Barkin seconded. Meeting adjourned at 8:40 pm. Next meeting Dec. 4th.
